One wedding, start to finish
Say a couple inquires in May about a Saturday in October of next year. These are sample numbers, so swap in your own.
| When | What happens | The paper it takes |
|---|---|---|
| 17 months out | They fill in your website form with the date and venue | Lead, with the date on it |
| Same day | You send three packages from your saved rates | Proposal |
| That night | They pick the middle package at $4,800 and sign on a phone | Signature, retainer invoice for $1,200 |
| 6 months out | First payment on the plan, $1,800 | Invoice, reminder |
| 2 months out | Questionnaire: timeline, vendors, must-have shots | Form |
| 1 month out | Balance due, $1,800 | Invoice, reminder, late fee if you use one |
| 2 weeks out | Book a second shooter at $500 for the day | Hold, deal memo |
| The week of | Timeline, venue, parking, the first look | Call sheet |
| 6 weeks after | First cut for the couple | Review link |
| 8 weeks after | Notes done, film approved | Approval record |
| The same day | Film, highlights and photos go out | Delivery page |
That is one couple, fifteen pieces of paper and about nineteen months. Multiply it by twenty weddings a year, all at different stages, and you can see where the admin nights come from.
What the numbers look like
On that sample, the job takes $4,800, less $500 for the second shooter and Stripe's fees on the card payments. Every expense you log lands on the job, so in December you can see which package really paid, and whether the drive to that venue two hours out was worth it.
Wedding films fill storage fast. A Solo plan has 100 GB and Pro has 500 GB. Storage counts every uploaded byte, and there is no overage, so uploads stop at the cap until you add a block. When a project is finished, Archive media drops its playback copies and frees the room, and your originals stay put. Keep your masters on your own drives too, since Cutvey is not an archive or a backup.
Things couples ask you about
Can we pay in parts? Yes. Offer 2 or 3 payment plans on the proposal, or set a schedule. Autopay is off by default, and a couple turns it on by ticking a box when they first pay.
Do we need an account? No. They sign, pay, review and download from links, and they can use a portal with an emailed code if they like.
Can both of us sign? Yes. Several signers can sign in order, and a parent paying for the film can have a reader's copy.
Can my mom see the film? Your delivery page can be shared by link, with a password if you want one.
Where Cutvey is not the right fit
If you shoot alone, deliver through a service you love and run 10 weddings a year, you may not need all this, and a simpler tool will cost less. There is no website builder, no album design and no print lab connection. It does not text couples. Read software for wedding videographers for the full choice.
Frequently asked
How many weddings fit on a plan?
Solo holds 10 active projects at a time, and Pro holds 50. Only active projects count, so a delivered wedding you archive frees a place. Storage is the limit to watch.
Can I sell the film as well as the photos?
The film sits on the delivery page, paid for through your invoices. A video in a gallery is never for sale, and that is on purpose.
What if a date falls through?
Withdraw a proposal that was sent, and the link closes for the couple with a notice. A signed agreement stays on the record, and your terms decide what happens to the retainer.
The free contract template is a place to start your terms, and how many revision rounds will help you set the limit in them.
