Wedding videography contract template

A wedding videography contract fixes the date, the coverage hours, what the couple receives and when, the retainer and when the balance is due, what happens if either side cannot go ahead, and the limits on sound, music and moments you cannot control. The sample below covers each, and you can edit it here, then copy, download or print it.

Sample only, not legal advice. This wording is a starting point. It may not suit your job, and the rules differ from place to place. Have a lawyer where you work review it before you use it.
WEDDING VIDEOGRAPHY AGREEMENT

Between [YOUR LEGAL NAME] ("Videographer") and [CLIENT NAMES] ("Couple").
Wedding date: [DATE]
Ceremony: [VENUE, ADDRESS, START TIME]
Reception: [VENUE, ADDRESS, START TIME]

1. COVERAGE
Videographer will provide [8] hours of continuous coverage on the wedding day, from [TIME] to [TIME], with [2] videographers. Extra time on the day is [$RATE] an hour, agreed with the Couple or their planner on the day.

2. WHAT THE COUPLE RECEIVES
- A highlight film of [4 to 6] minutes, set to licensed music.
- The ceremony and speeches, edited in full from multiple angles, with clean audio.
- [A 60-second vertical teaser.]
Delivered by private online link within [10] weeks of the wedding.

3. FEE AND PAYMENT
The total fee is [$AMOUNT]. A retainer of [$AMOUNT] is due on signing and holds the date. The retainer is not refundable, because the date cannot be offered to anyone else. The balance is due [30] days before the wedding.

4. CHANGES OR CANCELLATION BY THE COUPLE
If the Couple cancels, the retainer is kept. If the Couple cancels within [30] days of the wedding, the full fee is due. If the Couple changes the date, Videographer will try to move the booking to the new date, and the retainer moves with it if Videographer is free.

5. IF VIDEOGRAPHER CANNOT ATTEND
If illness or an emergency stops Videographer from attending, Videographer will send a qualified replacement of similar style. If no replacement can be found, Videographer will refund all money paid, which is the limit of Videographer's liability.

6. THE DAY ITSELF
The Couple will give Videographer a timeline and a contact person [14] days before the wedding. Videographer will follow the venue's and officiant's rules, which may limit where cameras can stand during the ceremony. Videographer is not responsible for moments missed because of those rules, guests in the shot, late changes to the timeline or events outside Videographer's control.

7. SOUND
Videographer will place a small microphone on [one partner or the officiant] and record the venue's sound system where the venue allows. Videographer cannot guarantee sound from a system it does not control.

8. MEALS AND BREAKS
Where coverage is over [6] hours, the Couple will provide a hot meal for each videographer at the same time as guests are served, so no speech or toast is missed.

9. MUSIC
The films use music licensed by Videographer for personal sharing. Videographer cannot use popular commercial songs the Couple requests unless they can be licensed. Online platforms may mute or remove films that use music without a license.

10. CHANGES AND REVISIONS
The highlight film is the Videographer's creative edit. The Couple may request one round of changes within [14] days of delivery, such as a name spelled wrong or a moment to add. A re-edit to a different song or style is billed at [$RATE] an hour.

11. FILES AND ARCHIVE
Videographer keeps the raw footage for [12] months after delivery. The Couple should download and back up their films, because links may close after [12] months.

12. USE OF THE FILMS
The Couple may share the films online and with family. Videographer owns the copyright and may show the films in its portfolio and on social media, unless the Couple asks in writing that it does not before the wedding.

13. LIMIT OF LIABILITY
If footage is lost or damaged through no fault of the Couple, Videographer's liability is limited to a refund of the money paid.

Clauses that matter more at a wedding

A wedding has no second take, so the contract does two jobs a brand film contract does not: it says what you will not be blamed for, and it says what happens if you are ill.

ClauseWhy it is thereA real case it covers
Retainer not refundableYou turned down other couples for that dateA couple splits up five months out
If the videographer cannot attendThe fear behind most couples' questionsA positive test two days before
Officiant and venue rulesMany ceremonies limit where you can stand"No camera past the third pew"
SoundYou do not control the DJ's deskA best man who wanders from the microphone
MealsAn 8-hour day with no food is a missed toastA planner who sits the crew at 9 PM
MusicA popular song can get the film muted online"Can you use our first dance song?"
Files and archiveCouples lose linksA request three years later

The money, worked through

Take a sample collection at $4,800 for 8 hours, two shooters, a highlight film and the full ceremony and speeches. A retainer of one third, $1,600, is due on signing and holds the date. The balance of $3,200 is due 30 days before the wedding, so you are never chasing money after the day. If the couple splits the balance into payments, add the dates to clause 3. Extra coverage on the day at $300 an hour is agreed with the couple or planner and invoiced after.

How Cutvey does this

In Cutvey the wedding starter proposal carries these terms, the couple signs on their phone, and the retainer invoice is raised when they sign. Two or three payment plans can sit on the proposal for the couple to pick from, and if you turn autopay on, the couple can tick a box to have later payments taken by themselves. The timeline questionnaire goes out on its own date, and the films are delivered on a page that opens when the balance is paid. Software for wedding videographers walks through a whole season.

Frequently asked

Should the retainer be refundable?

Most wedding filmmakers make it non-refundable, because the date cannot be sold twice. Say so in plain words, and have your lawyer check the wording where you work.

Can I use the couple's first dance song?

Only if you can license it for that use. Many popular songs cannot be licensed for a wedding film at a price a couple will pay. Clause 9 sets that expectation before they ask.

What if the couple wants raw footage?

Sell it as an add-on with its own price, and say it is uncut and ungraded. It is not covered by the sample, so add a line to clause 2 if you offer it.
