Track time and mileage on projects

Time & Mileage is where your team logs hours and miles against projects. Time turns into labor cost on each project, and billable time can go on an invoice.

Log time

Go to Time & Mileage.

  • Start a timer: pick the project, say what you are working on and press Start. Press Stop & log when you are done. You can add a rate as you stop.
  • Log time: pick the project (or General / non-project), describe the work, enter the hours and the rate, and tick Billable if the client pays for it.

Each person's time is their own. The list filters by dates, person, project, billable or not, and invoiced or not, and Export time CSV downloads it.

Rates

Under Hourly rates, set two rates for each person on your team:

  • Cost per hour: what an hour of this person costs the studio. It turns their time into labor cost on each project's Money page.
  • Billable per hour: what you charge for their hour, used when they log billable time.

An entry keeps the cost rate of the day it was logged, so changing a rate later does not rewrite past jobs.

People who do not handle billing never see rates or amounts. Their hours are logged without a rate for someone else to price.

Invoice the time

Un-invoiced billable time lists what has not been billed yet. Press Invoice it to put it on an invoice. Invoiced entries are locked, so the invoice bills them as they were.

Mileage for a project

Log mileage records miles driven for a project, with a purpose. Miles count toward the project's cost at your rate per mile, and Export mileage CSV downloads them.

This is the mileage you may bill to a client. Your tax mileage log is separate, in Books > Mileage: see Mileage and estimated taxes.

Time is not timecards

Time here is your team's hours. Hours your freelance crew work on a shoot day go on their timecards: see Crew timecards and overtime.
