Vendors and purchase orders

Vendors keeps the rental houses, caterers and suppliers you book, and the purchase orders you raise with them. It is in the Production part of the menu, for anyone who can manage projects.

Add a vendor

Go to Vendors and add the vendor's name, a category (rental, catering and so on) and a contact, so the whole team can find them. Search by name, category or contact.

Raise a purchase order

A purchase order is your record that you committed to spend money with a vendor. Raise one when you book a rental or order from a supplier.

  1. On Vendors, under Purchase orders, pick the vendor.
  2. Enter the amount and a description.
  3. Pick the project it is for, or No project.
  4. Save it. It gets its own number.

A purchase order moves through open, received, paid or canceled. Purchase orders are raised and updated by the people who manage finances. Everyone else can see them.

How they count on a project

On the project's Money page:

  • An open purchase order is committed: money you have promised but not yet spent.
  • A received or paid one counts as spent, in the actual cost.

If you also log an expense for the same purchase, link the expense to the purchase order so it counts once. See Log project expenses.

Gear can raise purchase orders too: for a repair, or for gear you rent in to rent out.

In double-entry Books

With Books in double-entry, a vendor's invoice to you is a bill, which you can make from a purchase order. See Bills and vendor credits.

What it does not do

Cutvey does not send a purchase order to the vendor or pay them. It keeps your numbered record of what you committed to.
