Rent out your gear
On this page
If productions rent your camera package, Gear handles it from the quote to the return: rates, a quote with your agreement, the deposit, pickup, return and any extra charges, with invoices through your usual Invoices.
Renting gear to others is on Pro, Studio and Enterprise. Turn on Rentals to others in Gear settings.
Set your rates and rules
On each item or kit, under Rental rates, set:
- Day rate.
- A week bills as: how many days 7 days out bills, like 3 or 4.
- Least it bills: a rental shorter than this still bills this many days.
In Gear settings, Rental rules are where every new rental starts:
- Damage waiver: a percent of the rental added to every quote, or 0.
- Refundable deposit: none, a fixed amount, or a percent of what the gear would cost to replace.
- Weekends: every day counts, Saturday and Sunday count as one day, or Sunday is free.
- Insurance: whether the renter needs a certificate before pickup. See Certificates of insurance.
- A quote stays open for: the days after you send it, from 1 to 365.
Then add your rental agreement in Settings > Clauses & Releases. The quote goes out with it.
Make a rental
- In Gear, open the Rentals tab and press New rental.
- Find the gear or kits, or scan their labels, and press Add.
- Pick the Renter (a client), the Pickup and Return days and times, and an optional project.
- Press Make the order. It starts as a draft, and nothing is sent.
The rental shows the days billed, the rental, the damage waiver, sales tax and the refundable deposit. For gear you rent in from a vendor, Add something you rent in adds a line with your cost, which the renter never sees, and raises a purchase order for it.
Quote, sign, confirm
- Press Send quote. The renter gets an email with a link to their rental page, where they read the quote and the agreement and sign. Someone who can see money sends the quote, since it carries the prices.
- If the renter is with you, press Sign in person and hand them the screen.
- Press Confirm. The gear is held for the dates, and the invoices are made as drafts in Invoices: the deposit on its own invoice, and the rental with the waiver and tax.
Send the invoices when you are ready. The renter pays through the invoice's own link, like any other invoice.
Once the renter signs, the agreement and the lines can no longer change. To change a signed rental, cancel it and start a new one.
Pickup and return
Press Scan out for pickup and scan each item as it leaves. When it comes back, press Bring back. Late days at the day rate and any damage go on the Charge sheet, which makes a draft invoice you check before sending. Refund the deposit from its own invoice. Then press Close rental.
Do not rent
On a client's page, Do not rent stops any new rental for that client, with an optional reason only your team sees.
What rentals do not do
- There is no public rental store. Every rental starts from your Gear page.
- Cutvey does not hold or move deposit money itself. The deposit is an invoice paid through your own Stripe account, and you refund it.
- Cutvey does not write or check your rental agreement or your insurance terms. You add your own agreement, and it is yours to get right.
