Certificates of insurance from renters

A certificate of insurance shows that a renter's policy covers your gear while they have it. Gear keeps each renter's certificates on their client record and reuses one until it expires.

Choose your rule

In Gear settings > Rental rules, Insurance has three choices:

  • Do not ask.
  • Ask, and warn when there is none. This is where it starts. A rental with no current certificate shows a warning, and the gear can still go out.
  • Ask, and hold the gear until a reviewed one is on file. Scanning out is refused until the renter has a current certificate you marked reviewed.

You can also set the Cover you ask for and tick The renter must name you as additional insured.

How a certificate arrives

  • From the renter: on their rental page they can upload the certificate themselves.
  • From you: on the rental or the client's page, press Add certificate.

A certificate is a PDF or a clear photo or scan, as PDF, JPG, PNG or WebP, up to 10 MB. Add what it says, so you can find it later: when it ends, who is insured, the insurer, the policy number, the cover, and whether it names you as additional insured or as loss payee.

Review it

A new certificate reads Insurance waiting for a review. Read it, then press Mark reviewed. A reviewed, current certificate reads Insurance on file, until its end date.

Expiry reminders

Cutvey reminds you 60, 30 and 7 days before a renter's certificate ends, and again when it has ended, so you can ask for a new one before their next rental.

Good to know

  • Certificates belong to the client, not the rental, so a repeat renter does not upload the same one every time.
  • Marking a certificate reviewed is your own check. Cutvey does not read the policy, confirm it with the insurer or tell you whether the cover is enough. Ask your insurer or broker what to require.
