Your clients: statements, merge and archive
On this page
Clients is everyone who hires you, with their projects, money and portal access in one place.
Where clients come from
A client is added for you when you send a proposal to someone new, or when a project is created. You can also press Add client, or import your list from a CSV file. Adding or importing a client never emails them.
Clients count toward your plan's leads and contacts limit while they are active: 1,000 on Solo, 5,000 on Pro, unlimited on Studio and Enterprise. Archived clients do not count.
A client's page
Open a client to see their projects, proposals and invoices, what is outstanding and their Lifetime value. On the same page:
- Details: name, company, email, phone and address.
- Language: the language of their documents, pages and emails. See Client languages.
- Billing CC email: every invoice, reminder and receipt for this client is also copied here, for example to their accounts payable.
- Internal notes: never shown to the client.
- Never track: no open pixel and no tracked links in any email to this client, whatever the workspace setting says.
- Client portal access: see The client portal.
Statements
Press Statement for a statement of account between two dates: every invoice in that period, what was paid and refunded, and the balance.
Merge duplicates
When the same person is on your list twice, merge them. Everything that names the duplicate (projects, invoices, leads and portal notices) moves to the client you pick, their notes are added, and the duplicate is removed.
Archive or remove
Archive takes a client off the list and out of the pickers. Every project, invoice and document stays, and their portal keeps working. Restore them any time your plan has room.
Remove client record never deletes their projects, proposals or invoices. Those stay for your books.
Erase personal data
When someone asks you to delete their details, Erase personal data removes their name, contact details, address, notes and custom fields, and closes any portal access. Signed documents keep their signature and the wording that was agreed, and invoices keep their money, because those are your business records. Erasing cannot be undone.
Your own fields
Track anything else about a client in Settings > Custom Fields. See Make Cutvey fit how you work.
Thank you. We are glad it helped.
Sorry it missed. Tell us what you were looking for and a person will answer.
