Import clients, leads, invoices and projects

If your work lives in a spreadsheet or another tool, save it as a CSV file and import it from Settings > Import. You always see a full check of the file before anything is saved.

The file

  • CSV only, with headings in the first row.
  • Up to 2,000 rows a file. Split a bigger file into parts.
  • One kind of record a file: clients, leads, open invoices or active projects.

Import it

  1. Open Settings > Import.
  2. Choose what you are importing, and choose Another CSV file as the source.
  3. Choose your file. Under Match your columns, each column shows an example cell. Tell Cutvey which field it is, or leave it out.
  4. For leads, invoices and projects, pick the date order your file uses.
  5. Press Check the file. You see how many rows will be imported, how many left out, how many new clients will be made, and how much is still owed on invoices. Every left-out row is listed with its reason.
  6. Press Import now when it looks right.

Invoice numbers

An imported invoice keeps its number. If Cutvey already has an invoice with that number, the row is left out rather than renumbered, so your records never get mixed up. An invoice with no number gets the next one in your sequence.

If you use Books, what is still owed on imported invoices comes in as an opening balance.

Plan limits

Imported leads and clients count toward your plan's leads and contacts, and imported projects toward your active projects, like any others. If a file has more than your plan has room for, Cutvey imports what fits, in file order, and lists the rest so you know exactly what was left out. See What each plan includes.

Each kind of import needs its own permission: leads for leads and clients, projects for projects, and finances for invoices. Using a project's value as its contract value needs finances too.
