Set up your gear inventory
On this page
Gear is where everything your studio owns lives: what it is, where it is kept, who has it now and what it is worth. It is in the Production part of the menu, on every paid plan, for anyone who can manage projects.
The first question
The first time you open Gear, Cutvey asks How do you use your gear?
- Just my own kit turns on inventory, kits, packing lists, service reminders and the insurance list.
- My team shares it adds check-out and return, bookings, reminders and signatures.
- I rent it to others adds rental rates, quotes, agreements, insurance certificates, deposits and invoices. Renting out is on Pro and up.
Your answer only decides what you see first. Change any of it later in Gear settings, and nothing is lost when you turn something off.
Add an item
- Press Add gear.
- Give it a Name. That is enough to start.
- Choose How you track it: One thing for a camera, a lens or a light, or A count of things for batteries, tape and gels. A counted item has How many you have and Low at, and Gear flags it as Low stock when the count gets that low.
- Press Add to Gear.
Each item gets its own number, like CAM-0001. Fill in the rest when you have time: category, make, model, serial, where it lives and notes. Sections such as Codes and label, Value and insurance and Your fields stay closed until you use them.
A photo can be a JPG, PNG, WebP or GIF up to 15 MB. Cutvey takes the location out of a photo before it is stored, and refuses one it cannot clean.
Kits
A kit is a case or a bag that always travels together. Open the Kits tab, press New kit, then scan or search to add gear. A kit holds up to 200 items, and an item sits in one kit at a time. Booking or checking out a kit takes everything in it.
Places
Turn on Locations in Gear settings, then add the places your gear lives on the Locations tab: a base, a vehicle, a storage unit or somewhere else. The gear list filters by place, and a stock-take can count one place at a time.
Find things fast
Search by name, number, serial or who has it. Filter by status, category and place, switch between Photos and List, and press + Save view to keep a filter you use often, for yourself or shared with the team.
Your own categories and fields
In Gear settings, Categories are the groups you file under, like Camera, Lens and Lighting. Your own fields track anything else, such as Mount or Firmware, up to 30 of them: text, number, date, yes or no, a choice, money or a link.
Archive or delete
An item that has been checked out, moved or listed on a project keeps its history, so it can be archived but not deleted. Archive takes it off the list, and Restore brings it back.
What Gear does not do
Gear is not a public rental store: there is no storefront where strangers book your kit. It does not insure anything, and a value you type is your own estimate.
Thank you. We are glad it helped.
