Repairs, service schedules and stock-takes

The Service tab in Gear keeps what is broken, what is being repaired and the checks coming due. Stock-takes let you walk a shelf, scan what is there and see what is missing.

Something needs a fix

  1. Open the item and press Needs a fix.
  2. Say What is wrong.
  3. Tick Keep it out of use until it is fixed if nobody should book it or take it out. Its status then reads Needs a fix everywhere.
  4. Optionally set Fix by, Who fixes it (one of your vendors) and the Cost. The cost is shown only to people who see money.
  5. Press Add to Service.

The fix moves through Needs a fix, In repair (press Start repair) and Done (press Mark done, with an optional note, day and cost). When the last open fix is done, the item is ready again, unless it is out with someone.

A return marked as needing a fix opens a ticket the same way.

Raise a purchase order on a fix makes a purchase order for the vendor who fixes it, which you then find in Vendors. Pick who fixes it first.

Service schedules

For a check that comes round again, open the item and press Add a schedule: say what to do, how often in days (90 is about every three months) and when it is next due. Mark done moves the next day on by itself.

To give every item in a category the same schedule, use Service schedules in Gear settings: for example Cameras, sensor clean, every 90 days. New items in that category start with it, and Add to items puts it on the ones you already have. You can keep up to 50.

A schedule shows on the Service tab two weeks before its day. Turn on Service reminders in Gear settings and the people who manage projects get a reminder 7 days before and on the day, and one for a fix past its Fix by day, between 9 am and 6 pm on your workspace's clock.

Run a stock-take

  1. In Gear, open More, then Stock-takes, and press Start a count.
  2. Choose Where: one place, or Everything.
  3. Scan or tick what you find. A kit ticks its items too. For counted items, enter how many you found.
  4. Press Finish.

Nothing moves until you finish. The result sorts every item into Seen, Missing, Somewhere else (found here but it lives elsewhere), Here but booked out and Short. Tick Move the ones from somewhere else here to update their place as you finish. Items out with someone are not called missing.

A finished count stays as a record, and each item's history shows it. Cancel this count leaves every item as it was.

What it does not do

Gear does not book repairs with a vendor or pay them. The purchase order and the cost are your record; pay the vendor as you normally would.
