Connect QuickBooks Online or Xero
If your accountant works in QuickBooks Online or Xero, Cutvey can send your invoices and the money that moves on them straight into those books. A workspace connects one set of books at a time.
What gets sent
The sync goes one way, from Cutvey to your books: invoices, payments, voids, refunds and write-offs. A write-off goes as a credit memo in QuickBooks or a credit note in Xero. Cutvey reads back only your account and tax code lists, so you can map them. Tips and card fees go too, each as its own record, once you choose an income account for them.
Expenses and bills are not sent.
Connect and set up
- Open Settings > Integrations and find the Accounting group.
- Press Connect QuickBooks or Connect Xero and sign in to that service. With Xero, pick the organization and press Use this one.
- In Set up your books, choose the Income account, where to Deposit payments to, and where Write-offs go to. If you rent out gear, also pick an account for Rental deposits held in. Choose a liability account, so a renter's refundable deposit is never counted as income. If you take tips or card fees, also choose where Tips and card fees go to. Only those paid from the day you choose it are sent.
- Match each of your tax rates to a tax code.
- Pick Send invoices issued from, the first day Cutvey should send. Then press Save setup.
Nothing is sent until the setup is saved. Drafts, scheduled invoices and anything issued before your start day are never sent. In QuickBooks, Cutvey adds two service items, "Cutvey sales" and "Cutvey write-off", plus "Rental deposit (Cutvey)" if you rent out gear. A rental deposit waits, with the reason, until you choose where deposits are held.
Keeping it in step
Cutvey syncs every 15 minutes. Sync now sends at once, a few times an hour. If something cannot go, for example the totals or tax would not match to the cent, it shows as Not sent yet with the reason, and Try again once you have fixed it.
Money you take back inside Cutvey, such as a reversed refund, is not sent. Fix those in QuickBooks or Xero by hand.
Disconnect or change books
Disconnecting stops the sync. Everything already sent stays in your books. To move to a different QuickBooks company or Xero organization, disconnect and connect again: setup starts fresh.
