Crew invoices and W-9s
Crew send their invoices straight to you, and every one arrives with its document attached. You approve, pay and track contractor totals in one list.
How crew send an invoice
Each crew member has a private crew link. Through it they upload their invoice as a PDF or a photo (JPG, PNG, HEIC or WebP, up to 10 MB). An invoice without its document is not accepted, so you always have the paper.
Crew on a paid Cutvey plan or a trial can also build the invoice inside Cutvey from the job, and it is filed to you the same way.
Approve and pay
- Open Books > Crew Invoices.
- Open an invoice and check it against the booking.
- Press Approve, or Reject with a note if something is off.
- Once you have paid them, press Mark paid.
An approved crew invoice becomes the cost of that person on the project, in place of the booking estimate.
Collect a W-9
The W-9 (1099) card on each crew member's page shows Not collected, Requested or On file.
- Press Request by email to ask for it.
- Crew can also send it themselves from any of their project pages. It fills in and signs online, then files on their page automatically.
- Have a paper copy? Use Scan W-9, or Mark on file.
Older versions stay under Version history, so you always know which W-9 was current when you paid.
Year end
The crew invoices list totals what you paid each contractor in the year, which is what you need for 1099 reporting. Cutvey does not file 1099s for you.
