Build your crew roster
On this page
Your crew roster is the list of people you hire: camera operators, gaffers, editors, sound, anyone you book by the day. Each person has a page with their role, rate, contact details and paperwork.
Add someone to the roster
- Open Production > Crew.
- Press Add crew.
- Fill in their name, email, Role and Day rate.
- Leave Email them an invitation now ticked if you want them to get a sign-in link to their own free crew workspace. Untick it to add them quietly and invite them later.
- Press Add to roster.
You can invite someone later from their page with Send invitation, or Resend invitation if the first email went missing.
What crew see when they sign in
A crew member with a login sees the jobs you booked them on, their call sheets, their deal memos and a place to send you their invoice and W-9. They never see your clients' money, your other projects or your pipeline.
Mark days a person is unavailable
On a crew member's page, find Unavailable days and press Add days. Pick the From and Through days, add a short note if you like, and press Save days. When you try to book them on one of those days, Cutvey shows a warning. It does not block the booking, because plans change and you know your people.
Archive instead of delete
When someone stops working with you, press Archive on their page. Their history, invoices and W-9 stay on file, and an archived person no longer counts toward your plan's crew limit.
How many people you can keep
Your crew database counts active people only. Solo keeps up to 100, Pro up to 500, and Studio and Enterprise have no limit. When the roster is full, archive people you no longer hire or move to a bigger plan. An import fills what fits and tells you which rows were left out.
Thank you. We are glad it helped.
Sorry it missed. Tell us what you were looking for and a person will answer.
