Projects, phases and the project board

A project is one job, from the deposit to the delivery. Everything about it lives in one place: the plan, the shoot, the cuts, the files and the money.

How a project starts

Usually you do not make one by hand. When a client signs a proposal, Cutvey creates the project, with the deposit invoice included, and puts it on the first phase of your board.

To start one yourself, go to Projects and press + New Project. Choose a template, or A blank project.

Inside a project

A project has seven sections: Home, Plan, Shoot, Review, Deliver, Money and Files, plus Settings for its details, team and billing. Home shows what needs you next. For someone who cannot see money, Money shows only the expenses they logged themselves.

Phases

A phase is a column on your project board. The board starts with these:

PhaseWhat it means
Deposit DueSigned, waiting for the deposit
Pre-ProductionPlanning the shoot
Production (Scheduled)Shoot days booked
Production (In Progress)Shooting now
Post-ProductionIn the edit
Client ReviewA cut is with the client
RevisionsWorking on their notes
Approved / DeliveringApproved, files going out
CompleteDone

A project moves from Deposit Due to Pre-Production by itself when the deposit is paid. Move it any other time by dragging its card, or with Move to a phase on the project.

Rename, reorder or add phases in Settings > Pipeline & Board, or start from a preset for commercial, wedding and event, social content or documentary work.

Board, list and timeline

  • Board shows each project as a card in its phase, with its next shoot, owner, open tasks and how long it has sat there.
  • List is a table you can sort and filter by phase, client, owner, type, tag and due date.
  • Timeline shows every active project across twelve weeks, with shoot days and task due dates.

Select several projects to move their phase, set an owner, mark them rush, apply a task template or add a tag at once.

Rush, tags and portfolio

Rush marks a project as urgent on the board and in its header. Tags are your own words for grouping projects. A project you flag as a portfolio piece in its Settings shows under the Portfolio filter.

Duplicate and templates

Duplicate project makes a new project from this one: the plan content, the open tasks, the budget lines and the team. Money, contracts, signatures, client files, review cuts, messages and crew bookings are never copied, and neither is the client. You can also save a project's setup as a template to start new projects from.

Archive or cancel

Archive takes a project off the board, and it stops counting against your plan's active projects. Nothing is deleted, and Restore brings it back if your plan has room. Cancel project closes it for good, and can raise one invoice for work done so far.

Archiving a project is not the same as archiving its media. To free storage from a finished job, see Free storage by archiving a project's media.
