Automate the steps with workflows

A workflow is a short list of steps Cutvey runs for you when something happens: a lead comes in, a proposal is signed, a project moves to a new phase. It saves the clicks you would make on every job.

Make a workflow

  1. Go to Settings > Email & Automation and press Open workflows.
  2. Press New workflow and pick what starts it.
  3. Add your steps, in order.
  4. Save it. A new workflow is saved off, so switch it on when you are ready.

What can start one

  • You start it on a project
  • A new lead comes in
  • A proposal is sent, or a proposal is signed
  • An invoice is paid in full, or an invoice is overdue
  • A cut is approved, or files are delivered
  • A client books a meeting
  • A project moves to a phase
  • A form is answered

The steps

A workflow can have up to 20 steps:

  • Send an email, from one of your email templates
  • Add a task
  • Send a form
  • Wait, a number of days
  • Move the project to another phase

Each step can carry one Only if condition: the project type, a tag on the client or project, an invoice still unpaid, or the project being in a phase. When the condition is not met, that step is skipped and the rest still run.

Your plan's limit

Workflows that are switched on count toward your automations, together with your switched-on event emails: Solo 3, Pro 10, Studio and Enterprise unlimited. Switch one off to make room for another.

One run per record

Each project, lead or invoice runs a workflow once, so nobody gets the same welcome twice. A workflow started by a phase runs once for each phase a project moves into.
